The Culinary Arts segment curated by Edible Issues for Serendipity Arts Festival 2024 aims to showcase food and its connections with culture, community, and sustainability. Through this Open Call, we invite culinary artists, chefs, and food artisans to bring a rich diversity of cuisines to the Festival.

Stall Timing

12 noon to 10 pm on all days (will vary based on allocated venue)

Fees

Stall prices range from Rs 15,000 to Rs 20,000 per day for 8 days (15 – 22 December) as payment for space allocated to you at the Festival. Upon receipt of your application, we will process it promptly. Our team will then contact you to provide specific pricing information based on your selected venue and space requirements.

This fixed fee for the Participation Days shall be paid by you to the Foundation.

October 21, 11:59pm IST

The final menu and pricing for the festival will be discussed and collectively decided along with the Curators.

PARTICIPANTS WILL PROVIDE

  • You need to get all the necessary licenses and permissions for your establishment, like FDA approval, GST registration (if it applies to you), PAN card, Aadhar card, food safety license, and Excise permission. You’ll have to do this alongside a representative from SAF, and you’ll be responsible for the costs.
  • It’s important to always have a copy of your GST certificate displayed at your food stall. Don’t forget to do this.
  • For every sale you make at your food stall, you must provide a tax invoice. This invoice should include your GST number and a clear breakdown of the taxes. All the items you sell should have a price that includes the applicable taxes in Goa. During the festival, you should have a sign at your stall saying, “Consider your meal free if you don’t receive a bill.”

SERENDIPITY ARTS FESTIVAL WILL PROVIDE

  • Infrastructural support viz. water from tankers, electricity, counter space and stall space. Water and electricity will be provided during operational hours i.e., 8 hours as per standard SAF internal policy. Any additional usage may be provided at the discretion of SAF as per its internal policy.
  • SAF shall provide Stall Space, Covered Roof, Separate Space for Cooking & Cleaning (common for all), Storage Space (common for all).
  • Space for branding and marketing. Sizes and location for hoarding shall be left to the discretion of the Foundation and will be shared by the Foundation at the start of the Festival.

TOWARDS PUBLICITY AND OUTREACH

  • SAF will provide a free interactive Festival standee for display at your restaurant, promoting your participation in the Festival.
  • Your restaurant will be featured in the “Places to Visit” section of our official collaterals and on our website, increasing your visibility to Festival-goers.
  • Your restaurant will be featured in the partner grid of our official Festival catalogue, reaching a wide audience of art and culture enthusiasts.
  • Your logo will be included in our Food & Beverage partners grid, which will be prominently displayed across various venues.
  • As part of our select merchandise offering, you will receive two complimentary festival tote bags and collaterals.
  • We will create a social media carousel featuring a Dish of the Day from your venue, to be shared on Serendipity Arts Festival’s official social media channels.
  • After the Festival, your restaurant will be included in our post-event social media grid showcasing all our valued F&B partners.

FAQs

Q. Can I apply if my GST registration or FDA approval is still pending?
A. Yes, if you’re certain you’ll receive your certificate by October 1.

Q. Can I leave my appliances and personal property at the venue overnight?
A. Yes, we offer basic security and storage space in the food stalls. However, SAF won’t be liable for any loss or theft.

Q. Is overnight refrigeration available?
A. No, it’s not available.

Q. Will you be reintroducing the Central Billing System from last year?
A. No, food stall vendors can accept payments via UPI, cash, or cards. SAF won’t provide any machines.

Q. Will SAF provide excise licenses for the stalls?
A. SAF will assist vendors in obtaining these licenses. Your cooperation is required.

Q. What is the size of the stall?
A. The sizes (and their prices) vary based on the venue –

  • The Old GMC Complex – 8 x 10 ft
  • The Art Park – 8 x 8 ft
  • The Arena at Nagalli Hills Ground – 10 x 12 ft

Q. Can I use my own branding for the stall?
A. SAF provides common branding for all stalls, but you can decorate and add your own branding as per your preference.

Q. How many stalls are available at the Festival?
A. There are multiple stall spaces across all venues of the Festival. We will build our spaces based on the final selections. Please click on the application form to check on available slots.

Q. Can I choose my own stall timings?
A. No, stall timings are fixed and aligned with the Festival schedule at each venue. Please note that these timings are non-negotiable and must be followed.

Q. Can I serve alcohol?
A. You need to have the relevant excise license as well as a VAT number/certificate to serve alcohol.

Q. What kind of alcohol can I serve?
A. You can only serve alcohol from our designated partners present at your venue. Example:
If your venue has a beer partner, you can only serve that particular beer brand.
If your venue has a whiskey partner, you can only serve that specific whiskey brand.
However, if there are no gin or vodka partners at your venue you are free to serve any gin or vodka brand of your choice.
